Learn how to manage email messages for your team, advocates, and referrals within your referral program. Customize your communication preferences to ensure effective interactions and keep everyone informed throughout the process.

Please Note: If you have multiple programs, be sure to select the correct one before making any changes. To switch programs, exit the Program Editor, go to the home screen, and click on the program's drop-down menu in the top left corner.
Please Note: There are limits on the total number of emails you can send during your free trial period, which may affect your ability to engage with your audience effectively. If you want to remove this restriction and enjoy unlimited emailing capabilities, consider upgrading your account to a paid plan that offers enhanced features and flexibility.

How to Set Up Email Messages

  1. Sign in to your Genius Referrals account.
  2. On the Email & Web Site Notifications section of the Program Editor, locate the toggle buttons next to each notification type. Turn them on or off to enable or disable specific email messages.
  3. To customize the content of an email message, click the pencil Edit button next to the email you want to modify. This will open a new window where you can tailor your message as needed.
  4. After customizing the email content, click the Save button to apply your changes.
Types of Email Messages for Your Team
  • New Advocate: Receive notifications whenever a new advocate joins your referral program.
  • New Referral: Get notified immediately when a new referral is captured.
  • New Lead: Get notified immediately when a new lead is created.
  • Member Approval: Receive alerts when a new advocate or referral requires approval (if you have the Members Approval feature enabled).
  • Bonus Approval: Stay updated when a new bonus needs approval (if you enable the Bonus Approval feature).
  • Payout Request: Get notified when a payout request is created.
  • Products Running Out: Receive alerts when products are running low on stock.
  • Vouchers Running Out: Receive alerts when vouchers are running low on stock.
  • Payout Processing Issue Notification: This email notification alerts your team when a requested payout cannot be processed.
Types of Email Messages for Your Advocates
  • Registration Email: Sent immediately after an advocate completes the registration process, welcoming them to the referral program.
  • Account Status Update: Informs the advocate when their account status has been updated, providing clarity on any changes.
  • New Referral: This email notifies advocates when a new referral has been successfully captured, keeping them engaged in the process.
  • Bonus Issued: Confirms to the advocate that a reward has been issued for their participation, encouraging ongoing involvement.
  • Bonus Status Update: This email informs advocates of any updates to the status of their bonuses. It is sent only if the Bonus Approval feature is activated on the Preferences page.
  • Payout Request Update: This email notifies advocates when the status of their payout request has been updated, ensuring transparency in the process.
  • Advocate Assigned to a Different Campaign: Informs advocates when moved to a different campaign, keeping them informed about their current engagement.
  • Available Balance: Alerts advocates when they have available rewards to redeem, prompting them to take action.
  • Re-engage Inactive Advocates: Sends a reminder to advocates who haven't shared in a while, encouraging them to re-engage with the program.
  • Email Verification: Sent to validate an advocate's email address. This email is only sent if the Email Verification feature is activated on the Preferences page.
  • Password Changed: Informs advocates that their account password has been successfully changed, ensuring security.
  • Referral/Lead Becomes an Advocate: Notifies advocates when a referral or lead has successfully converted into an advocate, celebrating their growth in the program.
  • Voucher Code: Informs advocates when a voucher or coupon is ready for use, enhancing their rewards experience.
  • Email Verification Code: This code is sent when an advocate needs to verify their account to ensure their information is current.
  • Password Reset: Provides instructions for resetting an advocate’s password, ensuring access to their account.
  • Account Blocked: This email notifies advocates of various reasons related to their accounts' Fraud Protection Settings. It is sent only if the Fraud Rules feature is activated on the Preferences page.

  • Form Confirmation: This email confirms that a referral has successfully completed the referral page form and reassures the referral that their submission was received.
  • Bonus Status Update: This email notifies recipients when a bonus's status has been updated. It is sent only if the Bonus Approval feature is activated on the Preferences page. It informs recipients about their bonus progress.
  • Bonus Issued: This email informs recipients when a reward has been successfully issued. It confirms that they have received their bonus and encourages continued participation in the referral program.
